This policy explains what personal data the Iron Crash website collects, what it is used for, who it is shared with, and how you can request access or deletion. It applies to ironcrash.jp and to the purchase and registration forms. The party responsible for the data is identified at the end of this page.
1.What data is collected
Ticket purchase: the buyer's name, email address, phone number, and the name of the person who will use each ticket. The phone number is used to reach you about your order, for example when a payment is not completed. Driver registration: full name, date of birth, driving licence number and contact details. Exhibitor and food truck registration: trading name, legal name, address, registration or licence number, contact person and contact details. Images uploaded by the exhibitor, such as a stall logo. Admin panel access: email address, a record of sign-in attempts, network address and browser identification. We do not ask for data that is not needed for one of these purposes.
2.What the data is used for
Issuing your entry credential and validating it at the gate. Confirming payment, issuing receipts and meeting tax and accounting obligations. Sending order messages: confirmation, payment instructions, changes and cancellation. Reviewing and approving driver, exhibitor and food truck registrations. Preventing fraud and misuse, and complying with the law.
3.Payment and card data
Payment is processed by Stripe. Card details go from your browser straight to Stripe; they never pass through our servers and are never stored on them. We keep only the transaction identifier, the amount, the method and the payment status — what is needed to confirm the ticket, issue a receipt and handle a refund.
4.Who the data is shared with
We do not sell, rent or transfer personal data. We share it only with Stripe, to process payment; with the email delivery service, to deliver order messages; and with a competent authority when the law requires it. On event day, gate staff see only what is needed to validate the credential.
5.How long the data is kept
For as long as it is needed for the purposes above, and for the period that tax and accounting law requires for sales records. After that it is deleted or anonymised. Data from a rejected registration is kept only as long as needed to answer a request for review.
6.Cookies
We use cookies to run the site and to measure traffic. The operational ones keep the session of panel users, let you check your own order without creating an account, and remember your chosen language. To measure traffic we use Google Analytics, which aggregates pages visited, referral source, approximate region and device type. Your network address is anonymised by Google and never reaches us in a form that identifies you. We use no advertising or social media cookies. Refusing cookies in your browser does not prevent buying a ticket.
7.How the data is protected
The site is served over an encrypted connection. Panel passwords are stored only as a cryptographic digest, never as readable text, and administrative access requires a second factor. The credential code is signed and contains no personal data: the gate looks the details up in the system. Images are stored on the platform's own server and reachable only through a temporary address.
8.Access, correction and deletion
You can request access to, correction of, updating of, suspension of the use of, or deletion of your data through the contact at the end of this page. We respond within a reasonable time, after confirming who is asking. A deletion request covering data tied to a completed purchase may be limited by the legal retention period for those records.
9.Minors
Where a registration requires a guardian's consent, the guardian's data is also handled under this policy. The conditions for minors to enter and take part are set out in the terms of use.
10.Changes to this policy
This policy may be updated. The version published on this page always applies, with the revision date shown at the top. Significant changes are notified by email to anyone with an open order.
